Job Summary:Cougar USA is a leading supplier of water control systems for commercial building applications, specializing in Pre-Engineered and Custom-Designed solutions for water pressure, level, temperature, flow, and quality.The Procurement Specialist is responsible for Invoicing, managing the purchasing process, maintaining stock levels, and ensuring that all materials are procured efficiently to meet the needs of the company and its clients. This role requires close coordination with the sales team, project managers, warehouse staff, and vendors to ensure that all orders are placed and received in a timely manner, with a focus on maximizing discounts and minimizing costs. Providing excellent customer service, even in non-direct customer interactions, is a key component of this role.

Key Job Responsibilities:
  • Generate invoices for all inbound, project, aftermarket, rentals, and service sales orders.
  • Enter purchase orders (POs) into NetSuite and send POs to vendors.
  • Purchase all stock and non-stock materials, optimizing discounts and freight costs.
  • Confirm vendor order confirmations including expedites, manage open POs, and record expected ship dates in NetSuite.
  • Maintain minimum stock levels to support continuous operations.
  • Generate part numbers in NetSuite for purchased materials.
  • Update vendor pricing in NetSuite.
  • Act as backup to the Warehouse Clerk when needed.

Required Qualifications:
  • Technical Knowledge: Strong understanding of product offerings, particularly in plumbing and HVAC systems for commercial settings.
  • Attention to Detail: Demonstrated ability to maintain a high level of accuracy in all tasks.
  • Deadline Management: Proven ability to work under pressure and meet tight deadlines.
  • Software Proficiency: Skilled in Microsoft Office Suite (Outlook, Teams, Word, Excel, etc.).
  • Communication Skills: Excellent verbal and written communication skills for effective collaboration with internal teams and external partners.
  • Time Management: Ability to multi-task, prioritize, and manage time effectively in a fast-paced environment.
  • Experience: 2–4 years of experience in procurement or a related field.
  • Flexibility: Occasional requirement to stay for company events.
